Developing Operational Systems For Health Centers

I was able to take an dive into the Rhode Island Health Center Association and their resources that health centers use to help streamline their operations and develop a communal platform that they can use to find resources and news about happenings in the field. 

Understanding The Challenge At Hand.

The Rhode Island Health Center Association was facing an internal roadblock with their processes. Wanting to continue to assist medical professionals and insurance providers within the Rhode Island area they were faced with finding a way to integrate a digital workflow into their business operations. Their end goal was to reduce the amount of hours spent assisting their members find readily available resources, and simplifying the steps to access resources.

Starting with interviewing their team, I began documenting core responsibilities of the RIHCA team on a day-to-day basis. The purpose of this was to identify interaction points with them and the end user, and how the end user might have needs that are not currently being met or are taking up too much of the clients resources. After interviewing with their teams and department heads, their was a clear correlation between lack of access to resources, and overall time spent assisting members locate said resources. Their was no current way that a RIHCA member could have found this information themselves, unless previously sent to them specifically by a RIHCA member. 

After this initial milestone was met, I initiated another 7 step process of identifying KPI’s, creating suggested functionality, identifying potential road blocks, mapping out how each member of the team would use this as a tool, and much more. All of these milestones we’re thoroughly documented, and presented to the executive leadership team along the way to make sure that they we’re aligned with the technical goals that I had mapped out. After 3 months, the team was aligned as to what their digital future would look like, and the steps necessary in order achieve their ideal future. 

The Solutions Presented

The solution that was offered was a brand new web platform, one that would be easily accessible to their users, present their resources, and encourage more meaningful interactions. This platform would house all of their resources, events, and updates that usually team members would be responsible for announcing and sharing on their own either via email or directly.

The website would house several buckets of information, all geared towards professionals within the RIHCA community, and towards their specific interest as well. This platform also setup standard cadence for the team members to be able to send out automated eblasts, that would automatically send users updates when the library has been updated. 

This gated resource area acted as a community form, a resource hub, and a place where RIHCA team members could continuously return to in order to get their jobs done more efficiently.  The website was based on a WordPress CMS platform, and came with an intuitive builder that would allow their team to work without being a developer. 

Additional Notes / Takeaways

This development was done as a multi-step development, where I would first diagnose their main pinpoints, and provide them with all the documentation that was gathered during my research. The final result was a total of 9 documents, and 3 design files that we’re created in FIGMA. The final step is set to take place early 2026, where the website development will be carried out and the RIHCA team trained on how to effectively use their website.
